Text your team about calls
Have Maggie text the right person after a call: maintenance calls to your maintenance lead, sales calls to whoever handles those, and everything else to you. You write who gets what in plain words.
If the Texts section says texting isn't available yet, this hasn't been switched on for your account.
Add someone
- Sign in and open the After the call tab.
- Under Texts, press Add someone.
- Fill in their Name and Mobile.
- In Text me about, say which calls are theirs, the way you'd tell a new hire. For example, "maintenance and vendor calls" or "owners, buyers, sellers and rentals".
- Press Add and send the text.
They get one text asking them to reply YES. They show as Waiting for YES until they do, and they get no alerts until then. If they lost the text, press Text them again.
You can add up to 10 people. Only add people who expect to hear from you, and don't add customers.
Choose who gets everything else
Tick Everything else on one person. They get any call that doesn't match someone's list. Ticking it on someone new moves it from whoever had it. That person can have their own Text me about as well, or leave it empty.
If nobody has Everything else, a call that doesn't match anyone's list isn't texted. The summary email still goes out either way.
What the texts look like
Maggie: Jane Doe (563) 555-0142 called about a leaking water heater at 12 Elm. URGENT. Details: https://…
URGENT shows only when the call was marked urgent. The link opens the call on your dashboard and asks for a sign-in, so nobody reads a call from a forwarded text. Anyone who doesn't sign in to your dashboard can still use the name, number, and reason in the text itself.
You won't get a text for a call where the caller said nothing, or for your own calls to your own line. Each receptionist sends at most 60 texts an hour.
What each status means
| Status | What it means |
|---|---|
| Waiting for YES | We texted them and they haven't said yes. They get no alerts. |
| Active | They replied YES and get alerts. |
| Opted out | They replied STOP, so we won't text them. |
When someone wants to stop
They reply STOP to any of our texts. That stops alerts from every business that added them, and you can't turn it back on for them. If they change their mind, they reply START, and we ask them to reply YES again.
To stop texting someone yourself, press Remove.
